Terms of Service

Last updated 7 October 2026

Akordo is an online service for hospitality businesses in Kosovo — cafés, restaurants, bars, hotels, bakeries and similar — to manage their team, weekly schedules, availability, time off, shift swaps, tasks and announcements. These terms are the agreement between you and the individual operating Akordo about using it.

Akordo is operated by an individual, not by a registered company. Contact: support@akordoapp.com.

By creating an account, joining a business on Akordo or otherwise using the service, you agree to these terms and to our Privacy Policy. If you don't agree, please don't use the service.

1.Who provides Akordo

Akordo is provided by the individual operating Akordo, not by a registered company.

Throughout these terms, "Akordo", "we" and "us" mean the individual operating Akordo. You can reach us at support@akordoapp.com.

2.Words we use

  • Business — the hospitality business (an "organization" in the app) that uses Akordo, with its locations, departments and positions.
  • Owner — the person who created the Business on Akordo. The Owner accepts these terms on behalf of the Business.
  • Manager and Employee — people the Business adds to its team, with the permissions of those roles.
  • Account — your personal login. One Account can belong to several Businesses.
  • Business Data — everything a Business and its team put into Akordo: team members, schedules, availability, requests, tasks, announcements, pay rates and so on.

3.Your account

You create an Account with your name, email address and a password, either by signing up yourself or by accepting an invitation from a Business. A Business can also create an Account for a team member directly; that person sets their own password the first time they log in.

Keep your password to yourself and tell us straight away at support@akordoapp.com if you think someone else has used your Account. You are responsible for what happens under your Account. Give us accurate information and keep your email address current — it is how you log in and how we reach you.

If you sign up to run a Business, you confirm you are allowed to accept these terms for it.

4.The Business's responsibilities

The Business decides who it adds to Akordo, what role each person has and what it records about them. The Business is responsible for:

  • having a lawful basis to put its staff's personal data into Akordo, and telling its staff that it uses Akordo;
  • the accuracy of what it enters, including schedules and hourly pay rates;
  • keeping roles up to date — for example, deactivating someone who has left;
  • complying with labour, tax and other laws that apply to it.

Akordo is a scheduling and team tool, not a payroll, time-clock or accounting system. The labor cost figures an Owner sees are estimates calculated from scheduled shifts and the rates the Owner entered. They are not a record of hours actually worked or of wages owed.

For the personal data of its staff, the Business is the data controller and Akordo processes that data on its behalf, under our Data Processing Agreement, which forms part of these terms.

5.Free trial

A new Business gets a free trial of 14 days with every feature. Each Account can start one free trial; a second Business created from the same Account starts without one.

Nothing is charged automatically when the trial ends. To keep using Akordo, the Owner chooses a plan and pays as described below. If no payment has been submitted by the end of the trial, the Business becomes Restricted (section 7).

6.Plans and payment

Plans and their prices are shown on our pricing page and on the Owner's Billing page. Prices are in euro. A plan is paid one month at a time.

Payment is by bank transfer only. On the Billing page the Owner picks a plan, receives our bank details and a reference code, makes the transfer from their own bank, and then tells us in the app that it has been sent. We check our bank account and approve the payment once the money has arrived; the paid month then starts, or is added to the end of the current paid period.

While a payment is waiting for our approval, the Business keeps whatever access it already had — a pending payment never reduces access, and never adds to it either. If we cannot match a transfer, we may reject the payment claim and tell the Owner why.

Akordo never asks for or stores card details. Bank fees charged by your bank are yours.

7.Late payment and Restricted access

When a paid month ends without a new approved payment, the Business enters a grace period of 5 days with full access, to allow for slow bank transfers.

If the grace period ends without payment, or a free trial ends with no payment submitted, the Business becomes Restricted. While Restricted, the Business's data is frozen: no one in the Business can see or use the schedule, requests, tasks, announcements or other operational features, and shift reminders stop. Only the Owner's Billing page stays open, so the Owner can pay and restore access.

Restricting a Business does not delete its data. Once a payment is approved, the Business returns to normal.

8.Cancelling, and no refunds

You can stop using Akordo at any time. There is nothing to cancel: simply don't pay for the next month. Your access continues until the end of the month you already paid for, followed by the grace period, after which the Business becomes Restricted.

Payments are not refundable, including for a partly used month. If you transferred money to us by mistake or paid twice for the same month, write to support@akordoapp.com and we will sort it out.

Section 17 explains what happens to your data when you stop.

9.Suspension and termination by us

We may suspend a Business — which puts it in the Restricted state described above — if we reasonably believe that it breaks these terms, is used for fraud or anything unlawful, puts the service or other customers at risk, or has not been paid for.

Where it is reasonable and safe, we will tell the Owner why and give them a chance to fix the problem first. While a Business is suspended by us, it cannot pay its way back in through the Billing page; the Owner should contact support@akordoapp.com. If we lift a suspension, the Business returns to the billing status it had before it was suspended.

10.Acceptable use

You agree not to:

  • use Akordo for anything unlawful, or to harass, threaten or discriminate against anyone;
  • add people to a Business, or record information about them, without the right to do so;
  • try to access another Business's data, another person's Account, or parts of the service you have no permission for;
  • probe, overload or disrupt the service, or get around its security or limits;
  • copy, resell or build a competing service from Akordo, or scrape it;
  • upload malware, or a profile photo or content that is illegal or infringes someone else's rights.

Please don't put sensitive information such as medical details in notes, time-off reasons or announcements. Akordo is not built for it, and it is rarely needed — "sick leave" is usually enough.

11.Business Data

The Business owns its Business Data. You give us permission to store, process and display it only as needed to run Akordo for you — for example, to show the schedule to the right people and send notifications. We don't sell it and don't use it for advertising.

How we handle personal data is described in our Privacy Policy and, for staff data, our Data Processing Agreement.

12.Availability and changes to the service

We work to keep Akordo running and secure, but we don't promise it will be available at all times or free of errors. Maintenance, problems with our hosting providers or other causes can interrupt it.

Akordo will keep changing: we may add, improve or remove features. If we remove something important that Businesses rely on, we will email Owners in advance where we reasonably can.

13.Messages from Akordo

Akordo sends notifications inside the app and, unless you turn email notifications off in your profile, by email. Push notifications on your device are sent only if you turn them on. Billing notifications to Owners follow the same email setting as all other notifications. Emails you ask for yourself, such as a password reset link, are sent regardless of that setting. We don't send marketing emails.

14.Intellectual property

Akordo — its software, design, name and logo — belongs to the individual operating Akordo. These terms give you the right to use the service while you are allowed to; they don't transfer any ownership. If you send us suggestions, we may use them without owing you anything.

15.Disclaimers

Akordo is provided "as is" and "as available". To the extent the law allows, we make no promises beyond those written in these terms — for example, that the service will meet every need of your Business, or that conflict checks, warnings and labor cost estimates will catch or calculate everything correctly. You remain responsible for your own staffing decisions.

16.Limitation of liability

To the extent the law allows, we are not liable for indirect or consequential losses, such as lost profits, lost revenue, lost business or lost data, and our total liability for any claim connected with Akordo is limited to the amount the Business paid us in the 12 months before the event that caused the claim.

Nothing in these terms limits liability that cannot be limited by law, such as liability for intentional harm or gross negligence.

17.When you stop using Akordo

If a Business stops paying, its data stays frozen in the Restricted state until the Owner pays again or asks us to delete it. We don't delete it automatically.

An Owner can ask us at support@akordoapp.com to delete the Business and its data, and anyone can ask us to delete their own Account. We handle each request individually and confirm by email when it is done. We keep records we must keep by law or to settle a dispute — for example, payment records. A Business's records of past work, such as shifts, belong to that Business, so deleting your Account may remove or anonymise your name in them rather than delete them.

A Manager or Owner can deactivate a team member at any time. Deactivation removes that person's access to the Business but keeps the Business's records, such as past shifts.

18.Changes to these terms

We may update these terms. The date at the top of this page shows when they last changed. If a change is significant, we will email Owners before it takes effect. If you keep using Akordo after a change takes effect, you accept the new terms; if you don't accept them, stop using the service.

19.Governing law

These terms are governed by the laws of the Republic of Kosovo. If a dispute arises, please contact us first — most problems can be solved by talking. If that doesn't work, the dispute goes to the competent courts of the Republic of Kosovo.

If any part of these terms turns out to be unenforceable, the rest still applies.
